Accounts and Office administrator

Our client, a well-established and growing nationwide insulation contractor with circa 70 employees across site and office operations based in Ballycoolin is seeking to hire an experienced Accounts and Office Administrator.

The Opportunity
This is a trusted, mid-level office and accounts role suited to an experienced professional seeking a part-time position with responsibility and autonomy that offers flexibility and work/life balance. Working closely with the Director and alongside a part-time accountant (two days per week), the role ensures continuity across administration, finance and day-to-day office operations.

Key Responsibilities

Office & Director Support

  • Act as a central point of contact for administrative and operational matters
  • Manage day-to-day office priorities and documentation
  • Maintain accurate records and handle confidential information professionally

Accounts & Financial Administration

  • Process wages and support payroll administration
  • Prepare and issue invoices accurately and on time
  • Monitor outstanding payments and follow up on arrears
  • Maintain orderly financial files and records
  • Provide cover for the part-time accountant as required

Operational Oversight

  • Ensure smooth office operations across the working week
  • Identify issues early and escalate appropriately
  • Bring structure, consistency and accountability to office processes

Experience & Skills

Essential

  • Experience in an Office Manager, Accounts or Senior PA role
  • Strong bookkeeping experience (payroll, invoicing, payment tracking)
  • Comfortable supporting senior management
  • Highly organised, accurate and discreet
  • Confident working independently
  • Strong IT skills (Microsoft Office and accounting systems)

Desirable

  • Experience in construction, trades or contracting environments
  • Exposure to HR administration
  • Interest in improving and streamlining processes
  • Experience with Sage and Timekeeper
